Running a PTA on AI: The Victoria Elementary Build Log

A living log of how I built and run Victoria Elementary's PTA with AI: a bilingual site, budget, fundraising, volunteers and more.

Victoria Elementary PTA website homepage

Living post. Last updated October 27, 2026. I add to the update log as the school year goes.

Victoria Elementary's PTA in Costa Mesa runs on a website and back office I built 100% with AI, pro bono. As PTA president, I use AI for the website, the budget, fundraising, volunteer texting and the paperwork in between. This post tracks what we've built, what's working and what I'd tell any other PTA trying it.

Quick context: I'm the first male PTA president in the school's history, and I run a brand and Webflow studio during the day. A PTA is basically a small business run by volunteers who turn over every year. That's exactly where AI helps most.

What is victoriapta.com?

Victoriapta.com is the PTA's hub, fully in English and Spanish. About a fifth of Victoria's students are English learners, so bilingual wasn't optional. Families can find:

  • The calendar. 136 events for the year, in one place.
  • The budget. Our approved 2026–27 budget of $104K, out in the open.
  • The Jog-A-Thon. Our biggest fundraiser, with a $55K goal and a live progress bar.
  • The shop. A spirit wear collection that's pre-sold, so the PTA never sits on inventory.
  • Voyager AI. An AI assistant built into the site.

The whole thing was built with AI, start to finish. See the case study.

What does AI actually do for the PTA?

Here's the real list so far, all problems we actually had:

  • Financial visibility. A dashboard over the PTA's finances with an AI assistant you can ask questions in plain English.
  • Budgeting. Building the 2026–27 budget proposal.
  • Structure. A clear comparison of a PTA versus an education foundation, and the path to launch the Victoria Elementary Education Foundation, scoped to Victoria only.
  • Fundraising benchmarks. Turning a neighboring foundation's model (color run, fireworks stand, gala, golf tournament) into a workbook we can learn from.
  • Board continuity. A roles and contacts workbook so next year's board doesn't start from zero.
  • Spirit wear. Moving from inventory-limited sales to a pre-sell, zero-inventory capsule.
  • Volunteer texting. Setting up the PTA's own texting account and getting it through carrier registration, which is more paperwork than you'd think.
  • Classroom supplies. A setup where teachers build supply lists and parents buy what's needed.

Does it work for other schools?

Yes. When TeWinkle Middle School needed a jog-a-thon site, we modeled it on the Victoria system. That became the Trojan Mile. Same playbook, different school, a fraction of the time.

What would I tell another PTA?

  • Start with your messiest problem. For us it was money. Once the budget was clear, everything else got easier.
  • Write things down for next year. The biggest risk in a PTA is turnover. AI makes documenting cheap, so do it.
  • Go bilingual from day one. AI makes it realistic for a volunteer board to publish everything in two languages.
  • Keep a person in charge. AI does the heavy lifting. The board still makes the calls.

Update log

October 2026

The Jog-A-Thon is live on the site, presented by Dave & Buster's, with $43,745 raised toward our $55,000 goal as of October 27. The Community School Capsule spirit wear collection is up for pre-order.

September 2026

Set up volunteer texting and worked through carrier registration. Started setting up classroom supply lists. Moved forward on launching the Victoria Elementary Education Foundation.
